Terms & Conditions — Carventis Group MPV Rental

1. Definitions

Throughout this document, the following terms carry the meanings given below:

"Carventis", "we", "us", or "our" refers to Carventis, a group MPV rental service based at 35 Jalan Putra, 05150 Alor Setar, Kedah, Malaysia.
"Service" refers to the group MPV rental arrangements offered by Carventis, including the Single-Day, Three-Day, and Weeklong Group MPV packages.
"User", "you", or "your" refers to any individual or group representative who enquires about, books, or uses the Service.
"Booking" refers to a confirmed rental arrangement between Carventis and a User for a specific vehicle, period, and package.
"Agreement" refers collectively to these Terms & Conditions and any rental confirmation document issued by Carventis for a specific booking.
"Group Lead" refers to the designated person within a travelling group who accepts vehicle handover and is responsible for the group's conduct during the rental period.

2. Acceptance of Terms

By submitting an enquiry through our website, confirming a booking, or accepting vehicle handover from Carventis, you agree to be bound by this Agreement. If you are acting on behalf of a group, you represent that you have authority to bind the group to these terms.

Use of our services is available only to individuals who are 18 years of age or older and who are legally capable of entering into a binding agreement under Malaysian law.

3. Service Description

Carventis provides short-term group MPV rental arrangements in Malaysia. Our current packages are:

Single-Day Group MPV (RM 600) — an eight-seater MPV for a one-day group outing, with basic route planning support and a clear handover to a designated group lead.
Three-Day Group MPV (RM 2,000) — a three-day arrangement with mileage allowance suited for inter-state group travel.
Weeklong Group MPV Touring (RM 4,500) — a seven-day arrangement including mid-week check-in, scheduled cleaning between travel days, and a dedicated coordinator.

Service availability is subject to vehicle availability at the time of booking. We operate primarily in Peninsular Malaysia. Specific geographic restrictions or coverage limits applicable to a booking will be confirmed at the time of arrangement.

4. Eligibility and the Group Lead

The designated Group Lead must hold a valid Malaysian driving licence (or a recognised international driving permit where applicable) and must be present at the time of vehicle handover. The Group Lead assumes responsibility for the safe operation of the vehicle and for the conduct of all passengers throughout the rental period.

Carventis reserves the right to decline a booking or refuse handover if the Group Lead cannot produce valid documentation or if there are reasonable grounds to question eligibility.

5. User Responsibilities

As a user of our services, you agree to:

Provide accurate and complete information at the time of booking and handover
Operate the vehicle lawfully, in accordance with Malaysian road regulations
Ensure all passengers wear seatbelts throughout the journey
Return the vehicle in a condition reasonably similar to that at handover, accounting for ordinary use
Not use the vehicle for commercial passenger transport, sub-rental, or any unlawful purpose
Report any damage, incident, or mechanical issue to Carventis promptly
Not drive under the influence of alcohol, controlled substances, or any medication that impairs driving ability
Not exceed the stated seating capacity of the vehicle

You are responsible for any fines, penalties, or third-party claims arising from traffic violations, parking offences, or misuse of the vehicle during the rental period.

6. Payment Terms

All prices are quoted in Malaysian Ringgit (RM) and are inclusive of the standard package scope as described. Payment terms, acceptable methods, and deposit requirements will be confirmed at the time of booking.

Where a booking is cancelled or modified, the following general principles apply:

Cancellations with reasonable advance notice may be eligible for a partial refund or rescheduling, subject to Carventis's discretion and the specific booking terms agreed at the time of confirmation.
Late cancellations or no-shows may result in forfeiture of any deposit paid, as communicated in the booking confirmation.
Any additional charges incurred during the rental (fuel, tolls, fines, damage beyond ordinary wear) are the responsibility of the User and may be invoiced separately.

We do not make any representation that prices will remain unchanged beyond the confirmed booking period.

7. Rental-Specific Terms

Vehicle Condition

Carventis will provide a vehicle that is roadworthy, insured, and clean at the start of each rental. Any pre-existing damage will be documented at handover and noted in the handover record.

Fuel

Unless otherwise stated in the booking confirmation, vehicles are provided with a specified fuel level and should be returned at a comparable level. Fuel costs during the rental period are the User's responsibility.

Mileage

The Three-Day package includes an inter-state mileage allowance as described at the time of booking. Excess mileage charges, where applicable, will be agreed in advance.

Coordinator (Weeklong Package)

A dedicated coordinator is included in the Weeklong Group MPV Touring package to assist with logistical coordination. The coordinator is not a driver and does not assume driving responsibilities.

Mid-Week Cleaning

A scheduled cleaning service is included in the Weeklong package between travel days. The specific timing will be coordinated with the Group Lead.

Breakdowns

In the event of a mechanical breakdown or road emergency, please contact Carventis immediately at +60 18-296 4738. We will make reasonable efforts to provide assistance, which may include vehicle replacement where available.

8. Intellectual Property

All content on the Carventis website — including text, images, logos, and design elements — is the property of Carventis or its content suppliers and is protected under applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to access and use the website for the purpose of enquiring about or booking our services. You may not reproduce, distribute, or commercially exploit any part of this website without our prior written consent.

9. Disclaimers

Our services are provided in good faith based on the information available at the time of booking. We do not represent that any specific route, destination, or travel outcome will be achieved.

Travel conditions, road closures, weather, and other factors outside our control may affect the course of a group trip. Carventis is not responsible for delays, additional costs, or changes to travel plans arising from such circumstances.

Nothing in this Agreement constitutes travel advice, legal advice, or any other form of professional advisory service.

10. Limitation of Liability

To the extent permitted by Malaysian law, Carventis's liability to you in connection with any booking shall not exceed the total fees paid by you for the relevant rental period.

We shall not be liable for indirect, incidental, or consequential losses, including but not limited to loss of enjoyment, loss of business opportunity, or costs incurred as a result of travel disruption not caused by Carventis.

Nothing in this clause limits liability for personal injury or death caused by our negligence, or for any other liability that cannot be excluded under Malaysian consumer protection law.

11. Indemnification

You agree to indemnify and hold harmless Carventis, its staff, and its agents from and against any claims, damages, fines, or legal costs arising from your misuse of the vehicle, your violation of these terms, or your breach of any applicable law during the rental period.

12. Termination

Carventis may suspend or terminate a rental arrangement with immediate effect if there is reasonable evidence of vehicle misuse, a serious breach of these terms, or a risk to the safety of passengers, third parties, or the vehicle itself. In such circumstances, the vehicle must be returned promptly and any costs associated with recovery or damage will be the User's responsibility.

Users may cancel a booking prior to the rental start date by contacting us in advance. Cancellation terms are as communicated at the time of booking confirmation. Obligations relating to payment for services already rendered and liability provisions survive termination of any booking.

13. Dispute Resolution

This Agreement is governed by the laws of Malaysia. Any dispute arising out of or in connection with a Carventis booking shall first be addressed through direct communication with our team at [email protected]. We will aim to respond and resolve matters within 14 working days.

If a dispute cannot be resolved informally, the parties agree to submit to the non-exclusive jurisdiction of the courts of Malaysia.

14. General Provisions

Entire Agreement: This Agreement, together with the booking confirmation, constitutes the complete agreement between the parties for the relevant rental.
Severability: If any provision of this Agreement is found to be unenforceable, the remaining provisions shall continue in full force.
Waiver: Failure to enforce any provision of this Agreement shall not constitute a waiver of that provision.
Assignment: You may not assign your rights under a booking to another party without our prior written consent.
Notices: Operational notices may be given by phone or email using the contact details provided in the booking confirmation.

15. Changes to These Terms

We may update these Terms & Conditions from time to time. The current version will always be available on our website. Where changes materially affect existing bookings, we will notify affected users directly. Continued use of our website or services following an update constitutes acceptance of the revised terms.
